FNF Tenants powers branded portals that property managers use to work with their residents. This policy explains how we handle information in those portals.
This Privacy Policy explains how FNF Technologies Inc. ("FNF", "we", "us") collects, uses, and protects information when you use FNF Tenants at tenants.fnfapp.com and the portals it powers. By using the service, you agree to the practices described here. Questions? Email info@fnfapp.com.
1Who This Policy Covers
FNF Tenants serves two kinds of users:
- Property managers (our customers), who set up and run a portal for their properties.
- Residents (tenants), who are invited by a property manager to use that portal.
When a property manager uses FNF Tenants to manage their residents' information, the property manager decides how that information is used, and FNF processes it on their behalf. If you are a resident, the property manager who invited you is responsible for the data they collect about you, and their own terms may also apply.
2Information We Collect
Account information
For property managers: name, email address, company or organization, and the password you set. For residents: the name and contact details used to invite you and to sign you in.
Property and resident information
Information entered into a portal, which may include property and unit details, resident names and contact information, lease dates and terms, emergency contacts, and documents such as leases and notices.
Portal activity
Messages and announcements, maintenance and service requests, and other activity within the portal.
Payments
Where a portal is set up to collect rent or fees, payments are handled by our payment provider. We receive records of a payment, such as amount and status, but we do not store your full card or bank account number.
Technical and usage data
Basic information collected automatically, such as device and browser type, IP address, and how the portal is used, along with diagnostic and crash data.
3How We Use Information
- Provide and operate the portal, including sign-in, messaging, maintenance requests, documents, and payments.
- Send notifications and communications related to the portal, such as announcements and request updates.
- Provide customer support to property managers and residents.
- Maintain, secure, and improve the service.
- Detect and prevent fraud, abuse, and security issues.
- Meet our legal obligations.
We do not sell your personal information, and we do not use it for advertising.
4How We Share Information
We share information only as needed to run the service and where the law requires:
- Within a portal: a property manager and their authorized staff can see the information in their own portal, and residents can see the information shared with them.
- Service providers: Google Firebase hosts the service and stores data on our behalf; our payment provider processes payments; and messaging providers help deliver email or text notifications.
- Legal reasons: to comply with the law or lawful requests, or to protect our rights, our users, or the public.
- Business transfers: if FNF is involved in a merger, acquisition, or sale of assets, information may transfer to the new owner under this policy.
5If You Are a Resident
Your property manager invited you to their portal and decides what information to collect and how to use it. For questions about your specific data, or to update or remove it, contact your property manager first. You can also reach us at info@fnfapp.com, and we will help or pass your request to the right property manager.
6Data Retention and Deletion
We keep information for as long as a portal is active and as needed to provide the service and meet legal obligations. Property managers can update or remove resident information in their portal. To close an account and delete associated data, email info@fnfapp.com, and we will handle the request within 30 days, except for limited records we are required to keep by law.
7Data Security
We take reasonable steps to protect information, and the service runs on Google Firebase, which encrypts data in transit and at rest and follows industry-standard security practices. Access to a portal's data is limited to the property manager, their authorized staff, and the residents it is shared with. No method of sending or storing data online is completely secure, so we cannot promise absolute security, but we work to keep information safe.
8Your Rights
Depending on where you live, you may have the right to access the information we hold about you, correct it, or delete it. Email info@fnfapp.com to make a request, and we may need to confirm your identity first. Residents should also contact their property manager, who controls their portal data.
9Children
FNF Tenants is intended for property managers and adult residents and is not directed to children. We do not knowingly collect information from children under 13.
10International Users
FNF Technologies Inc. is based in North America, and information may be processed and stored in the United States and other countries where our providers operate. By using the service, you consent to this transfer.
11Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will change the date at the top of this page and, where appropriate, notify you in the portal.
